How We Score HVAC Software

Methodology v1.0 · Updated September 30, 2026

Field Software Lab tests field service software around one practical scenario: a 3-person HVAC company with an owner, an office/customer-service person, and a field technician.

The score is not a universal software rating. It answers a narrower question: How well does this software fit the daily work of a small HVAC team?

Owner / BossMoney + control

Pricing, estimates, invoices, payments and reporting.

Office / Customer ServiceSchedule + coordinate

New calls, customers, scheduling, assignment and reminders.

HVAC TechnicianDo + finish the work

Today's assigned jobs, details, field updates and completion.

The 3-Person HVAC Fit Score

DimensionWeightWhat we test
Scheduling & Dispatch25Create the job, choose a time, assign a technician, reschedule and manage the calendar.
Quote → Job → Invoice20Create an estimate, move approved work into a job, invoice and record/collect payment.
Technician Workflow15See today's jobs, customer/address/work details, update job status and complete field work.
Ease of Use15Navigation, unnecessary steps, training burden and everyday friction across all three roles.
Customer Communication10Appointment reminders, notifications and customer-facing workflow.
Recurring HVAC Work10Recurring service/maintenance visits and how future work is managed.
Controls & Growth5User access, reporting and controls relevant to a small team that may grow.

Total: 100 points. Each dimension is first rated from 1 to 5 based on the tested workflow, then weighted. We do not award points simply because a feature appears on a vendor feature list. A feature can exist and still create significant workflow friction.

Price is separate from the Fit Score

Price does not add or subtract points from the 100-point Fit Score.

Fit Score
How well the tested workflow fits this 3-person HVAC team.
3-person price
What three active users would realistically need to pay for the required plan.

Where comparable public pricing exists, we also show a simple Price Rating. The stars describe only relative published price within that comparison—not quality or value.

For cross-product price comparisons, we use the standard annual billing price or annual monthly-equivalent when a vendor offers it. Field-service systems accumulate customer records, job history, recurring work and billing data, so frequent switching is less typical. Month-to-month pricing remains visible as secondary context. Temporary promotional pricing is excluded from the baseline.

Tested Plan is not the same as the 3-person plan

Tested Plan
The exact plan or trial we actually used.
3-Person HVAC Plan
The lowest current public plan that supports three active users and the workflow being compared.
Starting Price
The vendor's entry price, shown only as additional context.

If we test a higher-tier feature, we do not imply that the feature is included in a lower-priced plan.

Our evidence levels

A — Full Hands-On

We completed enough of the defined HVAC workflow to publish a full scenario score.

B — Partial Hands-On

We used the product directly but did not complete enough of the benchmark for a full score.

C — Vendor-Verified

We used current official vendor information but do not have enough hands-on evidence for a precise score.

Products with only C-level evidence do not receive a precise hands-on /100 score.

What we test

  1. Create/find a customer.
  2. Create and progress an estimate.
  3. Create or convert the job.
  4. Schedule date and time.
  5. Assign a technician.
  6. Reschedule and observe conflicts/notifications.
  7. Test recurring HVAC work.
  8. Open the technician-side job.
  9. Complete the work.
  10. Invoice and handle payment.
  11. Check reminders/notifications.
  12. Review owner controls relevant to a three-person team.

We record extra steps, restrictions, plan gates and workflow differences. Screenshots are used when they help explain an actual buying decision.

How to read our scores

Scores describe fit for this specific 3-person HVAC scenario. They are not claims that one product is universally better than another. Public scores are shown to one decimal place; internal calibration may retain additional precision.

A higher Fit Score does not automatically mean a business should buy that product. Compare the score with the real 3-person price, required plan, important workflow differences and switching cost.

Updates and corrections

Field-service software changes frequently. We recheck material pricing and plan claims before publication and during reviews. When a product change materially affects the benchmark, we update the evidence and affected comparison pages.
